“Managing projects means juggling a million apps — Canva, Google Docs, Notion, ChatGPT, YouTube, and more. I’ve tried batching tasks by type (design, writing, editing), but I still feel scattered. How do you streamline when there are so many moving pieces?”

You probably feel this too if you’re running a creative online business.

One project turns into a million action items. One tool turns into five. One small task turns into an afternoon of tab-switching.

This is the reality of modern creative work, and here’s why it happens:

  • You wear every hat. Strategy, execution, admin, marketing. It’s all on you.
  • Every tool solves a small slice of the problem. So you patchwork solutions together instead of building one holistic system.
  • You build as you go. Because who has the luxury of setting up systems before business gets busy?

The real issue isn’t just too many tools. It’s too many open loops. Too many unfinished threads your brain is trying to hold at once.

So instead of asking yourself, "How do I streamline?" Start with: "What do I actually need to do?"

Before you build a better workflow, you have to lighten the load.

The framework I always come back to is ESAD: Eliminate, Simplify, Automate, Delegate.

Before streamlining:

  • Eliminate: What steps, deliverables, or tools can you cut?
  • Simplify: Can you combine platforms or phases?
  • Automate: Can you templatize recurring tasks?
  • Delegate: What can you offload? Even to your future self with better templates or systems?

If you skip this step, no workflow will save you.

You’ll organize the overwhelm instead of clearing it.

Cut first. Then organize. Your brain (and your business) will thank you.
